Why we build on JobTread for our construction clients

Estimating, budgets, job costing and invoicing in one connected system. What we like about JobTread, what still takes setup, and 7 moves most skip.

I get asked a lot which job software I recommend. I don’t push anyone off what’s working for them. But when a construction client asks what we like building on, my answer is JobTread, and I want to explain why without turning this into an ad.

The short version: it keeps the numbers connected from the first estimate to the final invoice. That one thing is what most contractors are missing.

The thread through the whole job

In a lot of offices, the estimate lives in a spreadsheet, the budget lives in someone’s head, the actual costs live in QuickBooks, and nobody compares them until the job is over. By then it’s too late to fix anything.

JobTread ties those steps together:

  • Estimating pulls from a cost catalog, so you’re not rebuilding prices from scratch every time.
  • Proposals come straight from the estimate, so what the customer sees matches what you priced.
  • Budgets carry over when the job is sold, so the estimate becomes the plan.
  • Job costing compares what you planned against what you’re actually spending, while the job is still running.
  • Invoicing comes from the same job, so billing matches the contract and the change orders.

When those steps share the same data, you stop asking “did we make money on that job?” three months later. You can see it as you go.

The other pieces we lean on

Cost catalog

Your items, costs, markups and cost codes in one place. Get this right and every estimate gets faster and more consistent. Get it wrong and everything downstream is off.

Customer portal

Clients can see their proposal, approve it, view documents and keep up with progress without calling the office. Fewer “just checking in” calls is a real win for a small team.

Schedules and daily logs

The field team logs what happened on site, and the office can see it without chasing anyone. Those logs also become your record when a dispute or warranty question comes up later.

QuickBooks sync

Invoices and costs flow to QuickBooks instead of being re-typed. We dig into that setup in JobTread + QuickBooks.

An API we can build on

This is the big one for us. JobTread has an API and integrations, which means we can connect it to the rest of your business. A won deal in your CRM creates the job. A missed call gets logged on the right customer. Daily logs roll up into an owner report. JobTread stays the system of record for the job, and everything else plugs into it.

What still takes setup work

Being honest: JobTread isn’t magic out of the box. It’s only as good as the setup behind it.

  • The cost catalog takes real time to build. Someone has to sit down and enter your items, costs and codes. Most teams rush this and pay for it later.
  • Your team has to actually use it. If the field skips daily logs or the office builds estimates outside the system, the job costing reports are just guesses.
  • Connecting it to your CRM and phones isn’t a checkbox. It’s an automation someone has to design, build and keep an eye on.

None of that is a knock on the software. It’s true of any tool that’s powerful enough to run a business on.

Where to go from here

Here are seven setup moves I see most contractors skip. You can start on any of them this week, no help required.

7 JobTread setup moves most contractors skip:

  1. Build a real cost catalog with cost codes. Not a dozen generic items. Your actual materials, labor and subs, each tied to a cost code. Block out a few afternoons; it pays back on every estimate after.
  2. Turn your common jobs into estimate templates. Kitchen remodel, bath remodel, re-roof, whatever you sell most. Start every estimate from a template, then adjust.
  3. Set up the customer portal before the next job starts. Add your branding, decide what clients see, and walk the next client through it at the kickoff meeting.
  4. Require a daily log from every active job. Make it short: who was there, what got done, any issues, a few photos. Make it non-negotiable.
  5. Standardize change orders. Same format, same approval step, every time. No work on extras until the change order is approved in the system. This is where margin leaks.
  6. Match your cost codes to QuickBooks. Have your bookkeeper check that the codes in JobTread line up with your accounts, before you turn on the sync, not after.
  7. Review job-cost reports every week. Pick a day, open budget vs. actual for each active job, and look for anything trending over. A weekly 20-minute habit beats a surprise at closeout.
